Quite often in teams, a different but similar situation occurs: an employee is not eager to take on a certain task because he or she does not like that kind of tasks, while another employee may feel great about that kind of task, and would have completed it long ago if it had simply been assigned to him or her.

This is another obvious problem with not fully utilizing available resources within a team.

In many organizations, the productivity losses resulting from employees performing tasks that are beneath their competence and those that they do not like doing go into the millions. Can we do something about it?

Managers sometimes try to approach it this way:

  1. We can develop, update and follow a matrix of employee competencies and preferences in the process of defining employee responsibilities and delegating tasks.
  2. Introduce methods of distributing work that allow employees to choose their tasks, e.g:
  • Task depository-based solution – employees choose tasks on a first-come, first-served basis – taking into account the risks involved.

These are just examples of simple ways to deal with problems point by point, there are ways to solve the issue in a systemic way. How?

How to solve the problem using the system method?

Imagine a system that automatically assigns tasks to employees, doing so based on predefined competencies and employee preferences

This makes employees more motivated to perform tasks, and the strengths of team members are better leveraged. In this way, not only the process of task performance is more efficient, the team becomes more productive and engaged, but also in the long run employees build their value for the organization and commitment, e.g. by upgrading their competencies faster.

Team work

Everything works automatically, the boss doesn't have to think about who is supposed to do what — this solution significantly increases the productivity of employees, affecting more sensible management of working time (time savings) and energy of employees, which can be spent on activities that give the greatest value to the organization.

Above mechanism eliminates an employee's time and energy eater which boils down to loss of productivity resulting from that, the employees perform tasks that are below their competence or tasks that they don’t like to perform.

But this is only 1 of 14 time and energy eaters of employees and managers that we have identified in the course of our long-term experience in over 500 Business Services, Back Office and Middle Office teams in dozens of countries on 5 continents. The presented system solution eliminates these eaters as well.
